    Credit Controller - JHB

    Duties and Responsibilities:  

    Collections/Handover 

    • Collections on outstanding accounts as per assigned aging.
    • Following protocol in line with Standard Operating Procedures when dealing with different aging buckets.
    • Receiving inbound calls/ ensuring outbound quality call quota is reached daily/weekly/monthly.
    • Meeting monthly collection targets and reducing portfolio risk. 
    • Ensure that all payment plans are adhered to.
    • Escalation and assistance of account related queries (Billing/statements/Payments).
    • Ensure all debit order returns are dealt with immediately and account payers are contacted to settle arrears and informed of rejection fee. 
    • Ensure follow-ups are done on PTP's (Promise to pay) made on specific dates.
    • Manage holds on all accounts (current to be removed/arrears to be added).
    • Ensure suspensions/Handover list are sent to CSCC/NSCC first to be checked before sign-off. Prepare handover pack in accordance with check-list and send to CSCC/NSCC for approval and upload.
    • E-mails/Letters on overdue accounts must be sent at the appropriate time and in accordance with aging bucket.
    • Detailed notes to be inserted on Excalibur for each account monthly as per assigned Age. Relevant contact information and debit order details if applicable must be confirmed and updated.

    Administrations/Customer Service

    • Prepare documents for adjustments/refunds/transfers/Bursaries/ payment plan changes for approval by Campus Senior Credit Controller/National Senior Credit Controller and action once approved.
    • Accurate processing of unallocated payments.
    • Work closely with the admissions team by preparing pro rata calculations on cancellations.
    • Credit balance investigations and updating status/notes on portal.
    • Assisting with administration functions as and when required. 
    • Handle account payer/student queries or complaints and provide appropriate solutions and alternatives. 
    • Assisting and dealing with queries via FreshDesk and walk-ins.
    • Build sustainable relationships with internal and external stakeholders through open and interactive communication in-order to resolve outstanding account queries.

    Quality Management & Reporting

    • This will include the evaluation of all other KPA (Key Performance Area).
    • Items such as quality of work, deadlines met, and query handling will be checked.
    • Quality of e-mails, calls and letters sent will also be evaluated.
    • Quality of notes and information saved in Excalibur. 
    • Reports and documents prepared and sent to CSCC/NSCC.

    Competencies Required:

    • Knowledge of Full Function Credit Control. 
    • Knowledge of Accounts Receivables/Debit Orders /Bank Statements.
    • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external departments.
    • Good Interpersonal skills/Customer Service driven.
    • Analytical and Problem solving skills.
    • Sound numerical skills.

    PR and Events Co-ordinator - Cape Town

    Duties and Responsibilities:

    Media Relations

    • Identifying, building and maintaining strong media relationships within the community and region in which the campus is located.
    • Output of monthly (targeted number) media releases and caption stories for internal and external use, in order to reach annual campus PR exposure/publicity target. 
    • Building and maintaining relationships with the local media.
    • Networking with media at campus events.
    • Liaise with the National office in any crisis management situations (PR/media).

    Brand Identity

    • Understand the Brand identity and ensure that it is consistently applied to all campus elements including: posters. flyers and campus look and feel as well as to ensure that all campus communication is geared towards maintaining a positive Brand reputation.

    Management of PR related Service Providers

    • Identifying and selecting campus service providers which will provide services for the PR portfolio. This includes and not limited to: photographers, printers, sound technicians etc.
    • Brief campus photographers and liaise with other campus staff to ensure an even spread of sport, social, academic, cultural and community engagement events are effectively photographed.
    • Manage the campus photography including supply national office, press and online media.

    General Administration

    • Compiling annual and monthly events calendars.
    • Compiling reports after major events.
    • Managing the campus PR budget.
    • Compiling monthly PR reports.

    Events Management

    • Ensure the planning and implementation of comprehensive and balanced social events offering both on and off the campus, that will in turn positively impact on the marketing of the campus to prospective students.
    • Provide accurate reporting of all social and cultural events within the time frames provided.
    • Management of the internal advertising for all social and cultural events.
    • Build relationships with third parties to ensure access to practical venues for all social events and to ensure sponsorship opportunities and prizes for such events.

    Team Support

    • Support the Student Experience team on specific projects as required.
    • Supporting the Academic Operations Centres of Excellence with events, example: graduation.
    • Offer support related to public relations to other departments that may need it, when requested by a Senior Manager.

    Social Committee Management

    • Recruitment and management of the Social Committee to encourage student participate to ensure students receive a full and well-rounded experience at IIE Varsity College.

    • Minimum of 3 years in any of the following: PR, Events Management, Social Media Management, Social Management and Media writing and liaison. 
    • Experience in managing a team of people / running a team / delegating tasks would be beneficial.

    Receptionist - Durban North

    Duties and Responsibilities:

    Campus reception and Switchboard duties

    • Creates an organised front office environment (orderly systems, clean, professional and neat).
    • Receives and welcomes prospective and current students, parents and guests by greeting and directing them appropriately.
    • Builds relationships with students and parents through professional interactions.
    • Operates the switchboard by receiving and directing calls promptly, professionally and efficiently and gathers the relevant information (i.e. reason for the call) from the caller to ensure that calls are directed to the appropriate staff member.
    • Takes detailed messages when staff members are not available and delivers these messages timeously to the appropriate individuals.
    • Deals with queries from students and directs them to the correct departments.
    • Assists with intercom instructions.
    • Organises the flyers and fact sheets at Reception in a neat and orderly manner and supports the Marketing Assistant/s in ensuring that the waiting area and interview rooms are neat and tidy.

    General Administrative Support Ad Hoc Duties

    • Maintains a list of all remotes and microphones for use in the lecture rooms, keeps record of who has taken them out and which ones are in stock and ensures that lecturers hand them back in good condition.
    • Responsible for preparing, tracking and receiving of campus courier parcels, post and deliveries and notifying the relevant staff member/s promptly regarding collection or delivery updates.
    • Receives deliveries for the National office (campus specific) and campus staff and ensures that they are collected or handed to the appropriate individual timeously.
    • Supports the Marketing Assistant/s in booking appointments for the Full Time Student Recruitment team and assists with managing their diaries accordingly if required (campus specific).

    ICT Support - Roodepoort

    Duties and Responsibilities:

    Desktop Support

    • Answers, evaluates and prioritises logged requests for assistance from users requiring assistance with catalogue of services requests
    • Logs and tracks calls using the incident and problem management database provided through the service desk
    • Handles problem recognition (catalogue of services), isolation, resolution and follows on routine user incidents, and refers the undefined tasks (those not on the catalogue of services) to the campus Senior Support for resolution and further definition.
    • Provide IT support to Staff, Students and Lecturers. 

    Software and Hardware Installations and Support for Software and Hardware Installations

    • Installs desktop and laptop computers for use on campus with the relevant authorised software and completes the relevant documentation
    • Installs hardware and peripheral components such as monitors, keyboards, printers and disk drives 
    • Assists with set up and support for venues on campus or for training use
    • Conducts regular and periodic testing of ICT testing equipment in campus venues to ensure operability, including but not limited to:
    • PCs
    • Audio visual equipment
    • Access point
    • Phones
    • Office automatic equipment
    • and fixes any issues identified  

    Information Technology Administrative Functions

    • Liaises with service provides on information technology equipment and maintenance thereof
    • Administers and maintains the ICT asset register and equipment tracker and completes necessary finance documents e.g. disposals
    • Administers and maintains software, as per the agreed software list
    • Maintains the information technology storeroom, server room and office by keeping it neat and tidy and free of any health and safety risks
    • Trains and orientates staff on the use of hardware and software
    • Complies with the requirements of The Protection of the Personal Information (POPIA) legislation
