    Tender Specialist - Westville

    Job Description

    • RCL Foods is seeking a Tender Specialist based in Durban to join our Vector Logistics team.
    • The Tender Specialist plays a vital role in identifying, managing, and compiling tender documents for various projects, ensuring compliance with regulatory requirements, and maximizing the company's chances of securing contracts.
    • Reporting to the Growth Executive, the Tender Specialist will be responsible for actively monitoring tender opportunities, coordinating the tender process, and liaising with internal stakeholders to develop compelling and competitive proposals.

    Minimum Requirements

    • Diploma or bachelor’s degree in business administration, marketing, engineering, or related field.
    • Proven experience in tender management, bid coordination, or similar roles within the construction, engineering, or professional services industry.
    • Minimum of 5 years’ experience in an FMCG (or similar) organization spanning planning and distribution functions.
    • Experience in client and stakeholder engagement is advantageous.
    • Strong understanding of tendering processes, procurement regulations, and contract management principles.
    • Excellent written and verbal communication skills, with the ability to articulate complex technical information in a clear and persuasive manner.
    • Detail-oriented with strong organizational and project management abilities.
    • Proficiency in Microsoft Office suite and tender management software/tools.
    • Ability to work independently, prioritize tasks, and meet tight deadlines in a fast-paced environment.
    • Professional certifications in project management, procurement, or related disciplines are a plus.
    • Advanced MS Office skills.
    • High work rate and quality of work.
    • WMS/ERP systems skill and experience; project management.

    Duties & Responsibilities

    Tender Identification:

    • Regularly monitor and identify tender opportunities from various sources, including online portals, government websites, and industry publications.
    • Conduct market research to understand client requirements, project specifications, and competitive landscapes.

    Tender Management:

    • Lead the tender process from inception to submission, ensuring adherence to deadlines and requirements.
    • Collaborate with cross-functional teams, including sales, project management, and finance, to gather relevant information and insights for tender responses.
    • Coordinate with external partners, subcontractors, and suppliers to obtain necessary documentation and pricing information.

    Document Compilation:

    • Prepare and compile tender documents, including proposals, bids, quotations, and technical specifications, in accordance with client guidelines and standards.
    • Ensure accuracy, completeness, and compliance of tender submissions, including the inclusion of all necessary forms, certifications, and supporting documents.

    Proposal Development:

    • Develop and tailor compelling value propositions, executive summaries, and other content to differentiate the company's offerings and showcase its strengths.
    • Collaborate with internal subject matter experts to craft technical responses and solutions that address client requirements and specifications.

    Relationship Management:

    • Build and maintain relationships with clients, stakeholders, and industry partners to enhance the company's reputation and market presence.
    • Attend pre-tender meetings, site visits, and networking events to gather intelligence and insights on upcoming projects and client needs.

    Continuous Improvement:

    • Evaluate the effectiveness of tender processes, tools, and strategies, and propose improvements to enhance efficiency and competitiveness.
    • Stay updated on industry trends, best practices, and regulatory changes related to tendering and procurement.
