    Projects Document Administrator - Modderfontein

    Job Description    

    • Establish and maintain a comprehensive document management system for project-related documentation, including plans, contracts, specifications, drawings, and correspondence.
    • Ensure proper version control, filing, and archiving of all project documents.
    • Develop and enforce document control procedures to ensure consistency, accuracy, and compliance. Review and verify project documents for completeness, consistency, and adherence to organizational and regulatory standards.
    • Coordinate the change control process for project documents, including document revisions, approvals, and distribution. Maintain accurate records of document changes and update relevant stakeholders as necessary
    • Develop and improve document management processes and workflows specific to project requirements. Identify opportunities for process optimization and implement best practices to enhance efficiency and effectiveness.
    • Coordinate the distribution of project documents to internal and external stakeholders as per project requirements. Ensure timely and accurate delivery, and track document circulation to ensure all relevant parties receive the necessary information.
    • Maintain accurate and up-to-date records of project documents, including logs, registers, and databases. Ensure that records are securely stored and easily retrievable for future reference and audits.
    • Respond promptly to requests for document retrieval from project team members and external stakeholders. Facilitate authorized access to project documents while maintaining confidentiality and data protection.
    • Prepare regular reports on document control activities, including document status, distribution, and change control metrics. Provide insights and recommendations to project managers for continuous improvement.
    • Collaborate closely with project managers, team members, and external stakeholders to understand project document requirements and facilitate effective communication and information sharing. Foster a collaborative project environment.

    Qualifications & Experience    

    • Matric
    • Must have a minimum administrative qualification
    • 3 to 5 years’ administration experience
    • Project related experience will be advantageous
    • Computer literacy will be an advantage.
