    Project Management Administrator

    Roles and Responsibilities

    • Provide administrative support to the project team including the regional manager.
    • Maintain comprehensive project documentation, plans, and reports.
    • Organize, attend, and participate in stakeholder meetings.
    • Document and follow up on important actions and decisions from meetings.
    • Assisting with the updating of project plans and compilation of tenders.
    • Establishing and maintaining effective internal communication processes that ensure the flow of relevant information.
    • Providing support concerning quality procedures and project administration. 
    • Attending to ad-hoc duties assigned by the manager.
    • Monitor project progress and address potential issues.
    • Liaise with clients, subcontractors, and other stakeholders.
    • Assist in the development of project strategies.
    • Ensure that clients’ needs are met as the project evolves.
    • Procurement- responding to client RFQ’s, creating RFQ for suppliers. 
    • Procurement- creating quotations for clients and purchase orders for suppliers.
    • Invoicing 
    • Managing company safety file 
    • Ensuring compliance on tender submissions 
    • Administrative duties (attending to phone calls, emails and attending to employee queries, filing)
    • Data entry(on MS Excel) 

    Minimum Requirements

    • Degree or diploma in Business Administration, Project Management, or related field
    • Minimum of 2 years of experience in project administration roles, preferably in the construction industry
    • Strong understanding of project management principles
    • Excellent organizational and multitasking skills
    • Exceptional communication (written and verbal) and interpersonal skills
    • Proficiency in project management software tools, databases, and MS Office.
    • Ability to work well under pressure, often to tight deadlines
    • Detail-oriented with a demonstrated ability to perform with a high level of accuracy
    • Ability to work well within a team environment and build strong relationships with all levels of staff
