    Partner Affairs Coordinator

    Purpose of Job

    • The planning and coordination of Africa Partner activities relating to the admissions, benefits, remuneration, independence, tax, exits, retirement and withdrawal, professional body registrations, performance planning and appraisals and supporting the COO with any partner related matter. It also includes stakeholder management and overseeing reporting aspects to the Africa firm, global PwC as well as regulatory bodies .

    Key Responsibilities

    The critical responsibilities of the role include the following. Other duties may be assigned.

    • Partner admissions, transfers, retirements and withdrawals

    Process administration:

    • Administer and manage the Internal Partner Admissions (IPA), direct admissions and international transfers of partners processes across Africa.
    • Coordinate partner withdrawals and retirement processes across Africa.
    • Prepare offer letters for direct partner admissions.

    On/off boarding of partners

    • Oversee data capturing and completion of all Workday and related processes for new hires/leavers and liaise with HC and AfricaTech to ensure all administrative tasks are completed before on/offboarding (ie benefits, laptops, access, etc).

    Partner Performance Management

    • Plan and coordinate the performance goal setting (PPP) process in line with the ALT, LOS and business strategy.
    • Plan and coordinate the appraisal processes (PP&A) for partners on an annual basis.
    • Maintain the PRP and SRP database for all partners.
    • Plan and support the TSP Feedback process in conjunction with the Chair of the Governance Board.

    Partner income, taxes and benefits

    Partner Income and Tax

    • Support the COO and involved partners to update and maintain the partner income model on an annual basis.
    • Administration of the partner income communication to partners following the annual income process.
    • Coordinate the outcome of the partner income process to be implemented with Payroll.
    • Coordinate the income tax elements of the partner compensation and benefits with Finance.

    Partner Benefits

    • Coordination of all partner benefits and annual review of the fit for purpose, costing and vendor service delivery.

    Ensure timeous and accurate partner benefits administration for the following:

    • Provident Fund and Restricted Equity Fund (South Africa);
    • Sanlam group life and disability insurance (Southern Africa);
    • Hollard group life and disability insurance (Southern Africa);
    • Momentum group funeral policy (Southern Africa);
    • Kaelo gap cover (South Africa);
    • Camaf;
    • Oversee the management of the processing of documentation in support of death claims for deceased estates of partners and retired partners.

    Partner independence

    • Coordinate all partner independence activities across the partnership with the Independence office.
    • Engage with R&Q and OGC on a regular basis to ensure compliance.
    • Communicate to and assist partners with their compliance processes.
    • Keep up to date with the changing landscape and possible new matters impacting the partner independence process.
    • Assist direct admission partners with independence related matters during admission process

    Partner data and reporting

    • Oversee the data on Workday for Southern African Partners with respect to personal and HC related information, and ensure that all admissions/withdrawals/retirements for Africa Partners are updated.
    • Ensure that all information is in place to provide to OGC to update Archer

    Produce Global firm reports on Africa partners:

    • Track and report the movements of partners;
    • Partner admissions and/or changes;
    • Partner Headcount;
    • Partner numbers impacting the BBBEE scorecard for South Africa;

    Maintain and distribute various partner lists on a monthly basis to:

    • Bid Office
    • Transformation team
    • General requests

    Provide administrative support to OGC and the Secretary of the Board:

    • Maintain the firm’s minute books
    • Maintain the firm’s organograms
    • Maintain firm letterheads
    • Retain firm agreements and important documentation
    • Manage the statutory records of PwC Inc (South Africa) and other subsidiary companies.

    Manage and maintain the Africa Legal Entities and Branch Offices data on Archer.

    • Administer the IRS refreshers (annual return)

    Professional Body, Regulatory and Tender Support

    • Coordinate the annual auditor registration in other countries (Auditors Board (CPAB) and the UK FRC and the EU/EEA countries).

    Oversee the Management of IRBA administration in South Africa:

    • Annual PwC Inc directors’ registration and fee payment;
    • Registration of new partners;
    • Report on withdrawal/retirement of partners;
    • Ensure company register is updated regarding changes in directors.
    • Manage the administration of the MyDisclosure database (internal Partners’ document management database).
    • Provide partner and PwC statutory information for tender process purposes to the Bid Office when required.

    Partner related Communication from the office of the COO

    • Ensure all partner-related notes, e.g. tax schedules, partner remuneration, mapping and drawings, partner capital (Acknowledgement of Debt Agreement) and general correspondence are communicated to the relevant partners.
    • Create and maintain a Partnership & Me guide to assist partners’ understanding of their partnership with the firm.
    • Collaborate with and support the COO with partner personal related communication.

    General support

    Ensure assistance with, and facilitation of various PwC internally and externally processes for BEE, auditor registration and auditing review processes i.e.:

    • QMSE (internal auditing)
    • PCAOB review (Public Company Accounting Oversight Board)
    • IRBA review (Independent Regulatory Board for Auditors)
    • BBBEE (annual BEE rating)
    • Manage the completion and processing of all relevant documentation for PwC for FICA compliance purposes.
    • Facilitate the delivery of ad hoc requests from Leadership.

    QUALIFICATIONS, EXPERIENCE and KNOWLEDGE:

    To be successful in this role, an individual must be detail oriented, able to work under pressure, trustworthy, able to maintain confidentiality at all times and comfortable to deal with sensitive information on a daily basis. The role also requires maturity, ability to engage with ease at an executive (C- suite) level and being able to manage a small team of people.

    • BCom degree/postgraduate or CA qualification will be an advantage
    • Minimum 10 years experience in a corporate or professional services environment dealing with sensitive and complex matters
    • Proven understanding and experience of a professional services partnership and the ability to manage the processes around that
