    Operations Support Team Leader

    Minimum requirements: 

    • 3 years’ experience in an operations role.
    • Experience in SOP development and implementation
    • Experience in data collection, analysis and reporting
    • Experience in facilitating change management
    • Project management
    • Microsoft Excel

    Responsibilities: 

    Operational Support

    • Leadership and management of a team of Regional Operations Support Specialists
    • Create and implement the continuous upskilling and improvement for the Operations Support Specialist and Operations Administrators
    • Directly liaising with Developers and IT infrastructure team relating to practical problem solving as it affects Operations.
    • Meet with Internal Audit on a monthly basis to ensure there is continuous communication and solutions to queries
    • Continuously looking to improve efficiency and effectiveness through ongoing learning and new techniques.
    • To assist with any Operational tasks dispatched by the Operations business partner
    • Execute on any ADHOC requests from Executive/Senior Management
    • Guided responsibility for implementation of all new policies and procedures
    • Assist in the day-to-day operations of the Business Partner:
    • Based on requirements of the business partner’s needs: Support various departments with operational tasks and projects based on priorities of the business needs.
    • Assist in the development of SOP’s across all the departments:
    • Coordinate and schedule meetings, appointments, and events.
    • Work with data and present to ops and commercial manager to assist and drive decision making processes within their units
    • Coordinate with different departments to ensure timely execution of tasks.
    • Maintain and organize operational documentation and records.
    • Assist in keeping track of all requests and task from Managers and Senior Management team
    • Planning meetings and taking detailed minutes
    • Assist in the planning and execution of special projects as required.
    • Provide support for events, training sessions, and other company activities.
    • Track project timelines and deliverables, ensuring deadlines are met.
    • Assist in the development and implementation of process improvement initiatives.
    • Collaborate with team members to streamline workflows and enhance efficiency.
    • Document new procedures and assist in training staff on process improvements derived from data insight decision and at the request for the GM for implementation.

    Data Management:

    • Collect, analyze, and report on operational data.
    • Maintain accurate records and databases.
    • Generate and distribute operational reports as needed.
    • Assist in the Collection, analysis, and interpretation of operational data to support decision- making processes.
    • Assist in Generation of regular reports and summaries of operational performance metrics.
    • Identify trends, patterns, and areas for improvement through data analysis.

    Process Improvement:

    • Identify areas for improvement in operational processes.
    • Assist in the development and implementation of new procedures.
    • Monitor the effectiveness of implemented changes and suggest further enhancements.

    Compliance and Quality Control:

    • Ensure compliance with company policies and industry regulations.
    • Conduct regular audits to ensure operational standards are met.
    • Address any compliance issues promptly.

    Customer Service:

    • Provide excellent customer service to internal and external stakeholders.
    • Resolve operational issues and escalate when necessary.
    • Respond to inquiries and provide information as needed.

    Communication:

    • Serve as a liaison between different departments and management.
    • Communicate operational updates and changes to relevant parties.
    • Prepare and present reports on operational activities.

    Administrative Support:

    • Perform general administrative duties such as filing, copying, and data entry.
    • Assist with special projects and other duties as assigned.
    • Understanding main business drivers in order to impact on decision making; demonstrating financial awareness; controlling costs and thinking in terms of profit, loss and added value.
    • Identify, analyses, organize and solve problems and issues in a timely and effective manner. Anticipate problems, identify root causes and take corrective action. Evaluate effectiveness of a solution.
    • Showing concern for all aspects of the job; accurately checking processes and tasks; maintaining watchfulness over tasks and ability to identify irregularities.

    Skills and competencies:

    • Good communication and interpersonal skills.
    • Strong attention to detail.
    • Must be result-driven.
    • Ability to manage multiple projects.
    • Team player and ability to show initiative at all times.
    • Ability to work under pressure and still produce quality results timeously.
