    HR Administrator

    Job Purpose

    Bidvest International Logistics is looking for a dynamic and driven HR Administrator to join their HR Team. The successful incumbent will be expected to provide Human Resource Administrative support function to the Warehouse Human Resource Officer and site management in order to achieve HR objectives, The role requires a candidate with good decision-making skills, understanding and Interpretation of Labour legislation, problem solving and attention to detail. The HR Administrator will be required to travel between numourous sites around gauteng to deliver HR services.

    Qualifications & Experience

    Matric / Grade 12

    • Degree/ Advanced Diploma in any HR Related field.
    • 2+ years in an HR Administrative role     
    • Must have at least 1 year experience working on SAGE 300 People,
    • Drivers licence and own Vehicle
    • Key Responsibilities

    New Employees:

    • Preparation of new employee induction packs.    
    • Induction sessions with all new employees.
    • Collation of all new employee’s intake documents.
    • Capturing new employees onto the HR system, including uploading relevant documents, i.e., ID, contracts, provident docs.
    • Ensuring payroll receives relevant intake document timeously.
    • Creating new employee files.
    • Process terminated Employees.
    • Sending out termination packs to exiting employees.
    • Issuing mandatory termination documents/forms.
    • Capturing termination information onto Prem HR system.
    • Ensuring payroll receive relevant termination documents timeously.
    • Closing off employee files.

    Recruitment:

    •  Obtaining relevant recruitment documentation prior to advertisement, ie, pre-Authorisation, Job Profile and system capturing.
    •  Placing advertisement onto recruitment platform, ie, Neptune.
    •  Screening CV's.
    •  Setting up interviews, incl liaising with recruitment agencies and candidates.
    •  Arranging interview packs.

    General:         

    • Collation and recording of IDP documents, Performance appraisals and any other documents.
    • Typing ad-hoc documents, offer letters, letters of appointment, job profiles, letters, disciplinary enquiry notes, study assistance agreements etc.
    • Liaising with Finance regarding invoice payments, bursary payments etc.
    • Collation of new supplier/service provider documents.     
    • Arranging of disciplinary enquiries, ie, meeting arrangements, venues etc.
    • Monthly report generation and analysis.
    • Emailing Con/Arb Objections to CCMA.    
    • Maintaining the Disciplinary and CCMA tracker.   
    • Filing and employee file maintenance.
    • HRIS (SAGE PEOPLE) updates.
    • Financial Responsibility (if applicable):
    • Payroll/HR Administration - Headcount management - permanent and non-permanent staff complement.
    • Establishes and maintains a relationship with Payroll & thereby ensuring the effective management of information on SAGE 300 People.

    Skills & Competencies

    • Analytical approach, and a flair/passion for report generation & analysis.           
    • Microsoft products - VLOOKUP’s, pivots, mail merging, reports, professional letter writing.
    • Ability to effectively manage own time and high volumes of admin related documentation.
    • Exceptional administrative capabilities and organisational skills.
    • Well developed communication skills, both written and spoken.
    • Ability to work without supervision and to use initiative and sound judgement.
    • Deadline driven and able to meet exacting time targets.
    • Ability to work under pressure.
    • Excellent interpersonal skills and the ability to interact with individual at all levels.
