    Executive Assistant.

    Background
    Apex provides modern customer service software that enables businesses to communicate with people using chatbots and live chat on platforms like WhatsApp, Messenger, Web chat, Telegram and more.

    We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. You will manage company administration, organising travel and accommodation, taking minutes, and other organisational tasks. Ultimately, you will contribute to the efficiency of our business by providing personalised and timely support.

    The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details.

    Duties and responsibilities

    •  Manage EXCOs calendar, as well as content and flow of information to EXCO including setting up agendas, emails and other company logistics.
    •  Report to senior management/EXCO and perform secretarial and administrative duties.
    •  Provide administrative support such as office management, typing, dictation, spreadsheet creation, printing, copying, creating and maintaining contacts.
    •  Research, collect data and prepare documents for review and presentation to investors
    •  Work closely with EXCO to prepare for meetings
    •  Accurately record meeting minutes
    •  Managing internal and external correspondence on behalf of senior management.
    •  Ordering office supplies and replacements, as well as managing mail and courier services.
    •  Plan travel, including flights, accommodation and ground transportation.
    •  Organise team communications and plan events both internally and off site.

    •  Outstanding organisational and time management skills
    •  Active listening and excellent verbal and written communications skills
    •  Proactive approach to problem-solving.
    •  Ability to multitask.

    Qualifications and requirements

    •  Proven work experience as a Personal Assistant.
    •  Knowledge of office management systems and procedures.
    •  MS Office and English proficiency.
    •  Discretion and confidentiality.
    •  High School degree.
