    Executive and Marketing Assistant

    DESCRIPTION:

    • The Executive and Marketing Assistant position is a split role, with equal responsibility for providing executive support to the General Manager of Consumer Porducts Division (CPD) and assisting one of the CPD brand teams in marketing-related tasks. The incumbent will report to both the General Manager and the Marketing Manager.

    KEY JOB ACCOUNTABILITIES: EXECUTIVE ASSISTANT

    • Organization of team events and activities (large-scale offsites to regular small-scale gatherings)
    • Support of corporate employee and social responsibility events like Citizen Day, product donation programs, employee packages
    • Power User (the “go to” and “backup” person for corporate systems, processes and events that go beyond the scale of a single brand
    • Preparation of presentations and aggregation of information.
    • Coordinates the arrival of new employees (transfer files, FIT course planning, IT and telephone requests, etc.)
    • Maintains employee and mailing lists
    • Travel booking and expense claims for the General Manager

    KEY JOB ACCOUNTABILITIES: MARKETING ASSISTANT

    • Administrative and technical assistance for product management, events, activations, meetings
    • Draws up purchase orders, monitors budget and expenditure
    • Manages reoccurring processes like testers and returns or artwork processes
    • Draws up and maintains presentation files with updated marketing data
    • Connects various departments/people (Sales, Merchandising, PR, Training, etc.)
    • Communicates with external service providers (market research, advertising agencies, media buying agencies, etc.)
    • Circulates marketing information within the department

    TECHNICAL/PROFESSIONAL & PERSONAL COMPETENCIES REQUIRED:

    • Organizes/optimizes the activity of the manager or team
    • Anticipates, takes the initiative, and handles priorities
    • Carries out all activities while displaying a sense of service, availability, and responsiveness
    • Drafts simple or complex responses to letters and emails
    • Summarizes and analyzes important points in the responses made
    • Identifies useful documents and information within the department's sector and handles their distribution
    • Works alongside relevant networks to ensure smooth communication, while respecting rules on discretion and confidentiality
    • Implements administrative tasks relevant to his/her area of activity and reports on it
    • Updates administrative and/or technical data (indicators and monitoring tools)
    • Uses the professional applications available for his/her activity
    • Shows an awareness of and curiosity for his/her sector (vocabulary, rules, processes, network)
    • Takes responsibility for all or part of a project
    • Coordinates the advancement of projects with internal or external partners
    • Handles contacts with participating parties according to the level of their contribution to the project

    QUALIFICATION AND EXPERIENCE REQUIRED:

    • BA degree (preferably in Marketing or Communications)
    • Minimum of 2 years-experience as Marketing or Executive Assistant or comparable project work
