    Departmental Secretary (P11) (Faculty of Art, Design & Architecture: Department of Fashion Design) (Re-advert)

    • The Faculty of Art, Design and Architecture (FADA) offers a dynamic focus on creativity, collaboration, critical thinking and problem-solving. FADA programs maintain a strong focus on sustainability, relevance, and active engagement with real-word dynamism, creativity, and diversity in promoting curriculum reform to design education that aligns with the University of Johannesburg's vision.
    •  The Faculty and the Departments of Fashion Design and Industrial Design have excellent facilities and staff and works closely with industry stakeholders to ensure that its programmes remain relevant and that students are empowered to deal with constant change. The Heads of Department for Fashion Design and Industrial Design are recruiting  for a Departmental Secretary to provide administrative support to them in their role, and through performing administrative duties and functions. The successful incumbent will engage with the Heads of  Department, Faculty Administration students, staff, and relevant stakeholders.

     Responsibilities:

    • The successful incumbent will be expected to fulfil the responsibilities of Department Secretary:
    • Departmental general and academic administration activities for the Department of Fashion and Industrial Design
    • Respond timeously to and distribute communication.
    • Manage Head of Department (HoD) diaries.
    • Coordinate agendas, minute-taking and Departmental meetings.
    • Engage with relevant stakeholders and industry.
    • Maintain filing and record management systems.
    • Manage the complete student life cycle from queries, admissions to graduation.
    • General administration support for HoDs and staff.
    • Issue Department marketing materials.
    • Stock control and general ordering of stationary and refreshments.
    • Department receptionist.
    • Administrative and travel arrangements.
    • Assist with UJ support divisions.

    Minimum requirements

    • Matric/Grade 12 certificate.
    • A relevant Diploma or certificate or equivalent at minimum on NQF level 6 with three (3) to five (5) years’ relevant job experience.
    • Three (3) years' experience in academic administration within a tertiary education environment.
    • Minimum two (2) years' experience in Oracle system.
    • Minimum three (3) years' experience in MS Office, especially MS Word and Excel.
    • Minimum two (2) years' experience in ITS system.
    • Minimum three (3) years' experience in student life cycle.

    Recommendations:

    • Prior experience in working with MS Teams.
    • Prior experience in working with Perceptive Content.
    • Knowledge of UJ Policies and processes.
    • Knowledge of managerial methods and processes.
    • Knowledge of Business processes.
    • Knowledge of UJ Academic and Faculty Rules and Regulations.
