    Administrator: Payroll Process Interface (Cullinan)

    RESPONSIBILITIES:

    • Coordinate with external vendors and service providers for seamless integration, promptly resolving interface-related issues.
    • Collaborate closely with IT teams, Finance and vendors to troubleshoot interface concerns and deploy solutions effectively.
    • Develop and implement standardized procedures for all payroll- related data management and interface processes.           
    • Regularly maintain and review all payroll related interface configurations and data mappings for alignment with business and regulatory requirements.   
    • Assist with leading cross-functional projects to enhance all payroll related system capabilities, including upgrades, automation, and integration.    
    • Stay updated on emerging technologies and industry developments, recommending updates or enhancements to systems.
    • Act as a subject matter expert, offering guidance to internal stakeholders and end-users on all related payroll interfaces.   
    • Serve as a liaison between Time & Attendance (T & A), payroll and other departments, facilitating communication on interface matters.
    • Monitor KPIs related to all payroll related processing and interface performance, implementing corrective actions.               
    • Ensure compliance with regulatory mandates and internal policies for all payroll related processing.                        
    • Conduct periodic audits to validate data precision and rectify discrepancies.                                                                  
    • Provide comprehensive training and assistance to end-users on all payroll related systems.                                      
    • Analyse T & A and payroll data, generating reports for managerial review and strategic decision-making.               
    • Identify opportunities for process enhancement and automation to improve efficiency.                                                 
    • Develop and maintain documentation, training materials, and user guides for all payroll related interfaces.             
    • Assist with FSS Payroll related reporting, Incentive rewards scheme calculations, retrenchment calculation and other requirements (e.g.  Finance tools - TRP tools, wage negations tools, production bonus tools, etc.)                           
    • Ensure that all Time and Attendance reporting is aligned with standards, guidelines and schedules.                        
    • Establish and maintain good working relationships and an effective / sound communication system with the Finance Function and the sites.  
    • Takes cognisance of and adhere to Company policies, procedures and relevant legislation.
    • Manage and report on non compliance issues.    
    •  Model behaviour that is consistent with the Petra Culture Code. 
    • Effective Team Player and Effective Self Management.

    Requirements

    MINIMUM REQUIREMENTS:

    • National Diploma Payroll Administration or Equivalent (NQF level 6).              
    • A minimum of 5 years’ experience in payroll interface / system.                        
    • Working knowledge of a Computerised Payroll System (e.g. VIP People Payroll, Xtime etc).      
    • Computer Literacy and Microsoft Office Suite (Intermediate).                                            
    • Valid driver's license. 

    TECHNICAL COMPETENCIES:

    • Know, understand and adhere to relevant policies, procedures and legislation.                                                      
    • Demonstrate knowledge and skill of the relevant computerized payroll system.                                                      
    • Apply generic management principles and practices when coordinating payroll processes.                                 
    • Interpret and compile information into reporting format as per legal reporting requirements.                                
    • Check and confirm accuracy of time sheet data.       
    • Input and/or coordinate payment requisitions accurately.
