    Administration Assistant - Cape Town

    Duties and Responsibilities:

    Support/Assistance to the Campus Head:

    • Providing administrative support to the Campus Head (diary management, filing, typing, photocopying, proofreading etc.)
    • Preparing and submitting the Campus Head’s mileage and expense claims
    • Screening calls and taking messages for the Campus Head as and when required
    • Organising travel arrangements for the Campus Head when required
    • Receiving guests of the Campus Head and ensuring that refreshments are offered and arranged
    • Coordinates and prepares all logistics for events requested by the Campus Head namely, school meetings, staff meetings, management meetings, year-end functions, farewells, and other miscellaneous events.
    • Scheduling meetings/interviews for the Campus Head
    • Managing the stationery ordering and stock control for campus
    • Procures birthday and long service vouchers and issues birthday vouchers. Prepares and hands the long service vouchers and certificates for the Campus Head.

    General HR Administrative Support:

    • Provides general administrative support to the HR team at The IIE Varsity College & IIE Vega Cape Town campuses as and when required, including assisting with arranging logistics for HR events (e.g. Wellness Days, Employee Appreciation Days, Training initiatives etc.).
    • Assists in gathering and compiling the monthly recruitment details for the announcements on new employees, promotions, and transfers. Taking photographs for reporting to Talent Acquisition.      
    • Scanning, renaming, and uploading new and current employees’ documentation into their File Manager on APS
    • Compiles onboarding files and induction schedules for new employees and ensures that all equipment and resources are ready prior to the new employees' start date. Scheduling Probation Review reminders.
    • Assistance with the recruitment process for campus vacancies in line with company policies and procedures -Conducting Reference Checks for potential candidates when required.
    • Arranging interviews with line managers and candidates and booking interviews.

    Minimum Education Requirements:

    • Minimum of an NQF level 6 qualification in HR or Admin related.

    Minimum Work Requirements:

    • Minimum of 3 - 5 years administrative experience, preferably within a tertiary environment.
