    Admin Assistant / Junior Bookkeeper

    Job brief

    Duties will mainly include assisting the Financial Director with basic bookkeeping using Xero.

    Responsibilities

    • Assisting the Financial Director by performing basic bookkeeping.
    • Taking calls from clients that require IT support.
    • Opening tickets on the MSP Management System. (The candidate will be trained to use this program.)
    • Professional communication with all clients.
    • Making travel and meeting arrangements.
    • Preparing reports, and maintaining appropriate filing systems.
    • Answer and direct phone calls.
    • Organize and schedule appointments.
    • Plan meetings and take detailed minutes.
    • Write and distribute emails, correspondence memos, letters, faxes, and forms.
    • Assist in the preparation of regularly scheduled reports.
    • Develop and maintain a filing system.
    • Update and maintain office policies and procedures.
    • Order office supplies and research new deals and suppliers.
    • Maintain contact lists.
    • Book travel arrangements when required.
    • Submit and reconcile expense reports.
    • Provide general support to visitors.
    • Act as the point of contact for internal and external clients.

    Requirements and skills

    • Matric.
    • Additional qualifications such as a degree, diploma, or certificate as an Administrative Assistant, Secretary, or Bookkeeper will be a plus.
    • Adept in using Xero bookkeeping software.
    • Excellent oral and written communication skills, and be able to converse fluently in English and Afrikaans.
    • Previous experience as an Administrative Assistant, Virtual Assistant, Office Admin Assistant, Secretary, or Executive Administrative Assistant and experience within the IT industry, may be beneficial.
    • Knowledge of office management systems and procedures.
    • Proficiency in MS Office.
    • Excellent time management skills and the ability to prioritize work.
    • Work methodically and pay attention to detail.
    • Great problem-solver.
    • Strong organizational skills with the ability to multi-task.
