    Human Resources Officer

    Job Description:

    ESH Management:

    • Apply health, safety, security and housekeeping in your work environment
    • Comply to Legislation as set out in the OSH Act and to organisational standards
    • Address workplace hazards and risks

    Quality & Food Safety:

    • Manage documentation and records within the HR Quality Management System
    • Apply and continuously improve HR policies and procedures
    • Comply with requirements of the HR Quality Management System
    • Support with improving the effectiveness and efficiency of the HR Quality Management System.

    FINANCE:

    • Protect company assets (working capital & fixed assets)
    • Minimise waste and rework

    CUSTOMERS:

    Customer Relations:

    • Monitor customer satisfaction
    • Foster and maintain customer relations

    Stakeholder Relations:

    • Liaise with a range of stakeholders

    PROCESS:

    HR Audits:

    • Conduct HR audits on employee qualifications, skills and competencies

    HR Legislation:

    • Comply with the relevant HR Legislation (Labour Relations Act, EE Act, Skills Development Act, BCEA Act, Taxation Act COIDA etc.)

    Exit Processes:

    • Coordinate the employee exit process (Exit Checklist, etc.)
    • Conduct exit interviews and compile exit statistics and trends

    Induction:

    • Arrange Benefits consultation with new employees (Retirement, Provident Fund, Medical Aid, etc.)
    • Administer all pre-induction documentation
    • Coordinate the sign on process (Induction checklist, medical, employee data, payroll info, etc.)
    • Coordinate New Employee Induction programme and administer Induction documentation
    • Induct new employees and monitor employee feedback of Induction effectiveness
    • Coordinate Induction re-entry process (maternity leave medicals, etc.)

    Recruitment:

    • Coordinate and update the recruitment file per position
    • Assist the HRBP with scheduling interviews and coordinating interview panels
    • Assist HRBP with the pre-screening process
    • Assist HRBP with the coordination of the recruitment process and preparing interview packs
    • Coordinate the process of psychometric assessments where applicable
    • Coordinate the process of checks for identified candidates

    Performance Management:

    • Administer the Performance Management process
    • Ensure all employee KPIs and IDPs are on Nadi for Performance review
    • Mentor non-performing employees in the Performance Management process
    • Assist in EIB Process ensure upload of Rewards information on Nadi

    Industrial Relations

    • Maintain sound labour relations advising management and applying sound labour practices
    • Advise Line Management and the Union on dealing with issues and requirements as specified in the LRA
    • Interpret and apply collective agreements
    • Provide HR input into Shop Steward / Management meetings
    • Analyse complaints and reports relating to referred disputes and select the appropriate resolution process
    • Interpret and manage conflicts within the workplace
    • Facilitate the resolution of employee grievances and record and take grievances and complaints up with management
    • Coordinate and facilitate internal Disciplinary Hearings
    • Represent the company at external Disciplinary and other agreed upon Hearings
    • Prepare disciplinary correspondence and advice on behalf of Management team
    • Facilitate and coordinate Disciplinary Investigations (in conjunction with Line Management)
    • Maintain and update Disciplinary Systems and Records
    • Compile IR Reports, statistics and IR meeting minutes

    Remuneration and Benefits:

    • Prepare and administer annual increase templates, variable pay and bonuses
    • Preparing Letters for the above
    • Process employee promotions, movements, transfers, etc.
    • Liaising with Pension fund and Medical aid
    • Withdrawals from Pension fund
    • New application and Withdrawals on discovery Health
    • Liaising with Discovery and NMG on Medical aid 

    Payroll:

    • Coordinate the Payroll input process and Employee entitlements
    • Payroll Input on Nadi and payroll Integration to Legacy system
    • Conduct Wage calculations for Work Schedule Rules (Provident Fund, Pension Fund, Medical Aid, etc.)
    • Attend to, resolve and reduce Payroll queries
    • Process Payroll statutory returns (EMP201, IRP5's, COIDA etc.)
    • Verify monthly Payroll
    • Audit leave on the payroll system in line with leave applications on Nadi and ERS Biometric system
    • Involved in the implementation of new Legacy system Payspace and upkeep thereof
    • Financial year end Audits
    • Assisting employees with Income Tax Returns

    Reward and Recognition:

    • Administer and coordinate the Long Service Awards and coordinate Annual Reward functions
    • Process Long Service Awards payments
    • Processing of RISE recognitions

    Staff Wellbeing:

    • Coordinate the Staff Wellbeing Programme (Special events, Wellness Days, etc.)
    • Refer employees to Staff Wellbeing Programmes as required
    • Arranging Flowers or Hampers for employees that are sick or celebrating

    Events

    • Project Planning on HR Calendar of Events
    • Costing and Ideas sourcing
    • Invitation and Marketing material
    • Running of event from start to finish (Setup & Clean up)

    Talent Management:

    • Update Talent Management Matrices

    Transformation Management & Employment Equity:

    • Coordinate EE Committee meetings

    Communications:

    • Coordinate internal communications and update Communication boards (Company notices, Recruitment adverts, Long Service awards, etc.)

    HR Information Systems:

    • Capture, store and retrieve Human Resources information on Nadi, and Payspace
    • Recruitment for vacant positions Internal and External on Nadi
    • Training for ESS and MSS on Nadi

    HR Reporting:

    • Compile daily, weekly and monthly HR Reports
    • Compile custom HR reports from Nadi
